Welcome to Nexo Languages. These terms cover what you can expect from us and what we expect from you when you use our website or engage our coaching services.
By using our website or booking a session, you agree to these terms. If something doesn't make sense, reach out — we'd rather talk than hide behind fine print.
1. What we offer
Nexo Languages LLC provides online language coaching in English and Spanish. Our services include one-on-one coaching, small group programs, corporate training, and programs for kids.
All sessions are conducted online via video conferencing tools. We do not offer in-person instruction at this time.
2. Free assessment
We offer a free initial assessment to understand your goals and current level. This assessment is non-binding — it does not obligate you to enroll in any program or make any payment.
3. Booking and scheduling
Session dates and times are agreed upon between you and Nexo Languages. Once confirmed, sessions are considered scheduled and subject to our cancellation policy.
We offer flexible scheduling and accommodate multiple time zones. Session times may be adjusted by mutual agreement.
Standard sessions are 50 minutes for adults and 30–40 minutes for children, unless otherwise agreed.
4. Cancellation and rescheduling
We understand that plans change. Here's how cancellations work:
- Cancel or reschedule with at least 24 hours' notice — no charge, and we'll find a new time that works.
- Cancel with less than 24 hours' notice — the session will be charged at the full rate. We need to protect our schedule, and last-minute cancellations prevent other students from using that time.
- No-shows — treated the same as a late cancellation.
Cancellations and rescheduling requests should be sent via email to info@nexolanguages.com. We also accept written notice through text message or messaging apps. Phone calls and social media comments are not reliable ways to reach us and may not be seen in time.
If Nexo Languages needs to cancel a session due to illness or an emergency, we will notify you as soon as possible and reschedule at no cost within a reasonable timeframe.
5. Payment
Fees and payment terms are communicated before you commit to any program. We don't publish pricing on the website because every program is tailored to your needs.
For one-on-one coaching, payment for a block of sessions is due before the first session in that block. For group programs, payment is due before the course start date.
We accept payment by bank transfer, credit card, or other methods we agree upon. Fees cover instruction only and do not include any third-party materials or textbooks you may need.
6. Refunds
Unused sessions from a prepaid block may be refunded if you notify us in writing before the scheduled session. Sessions already taken are not refundable.
If a group program does not reach the minimum number of students required to run, we will offer you a full refund or the option to transfer to a future session.
To request a refund, email info@nexolanguages.com. We will process eligible refunds within 14 business days.
7. Group programs
Our small group programs run with 4 to 6 students per group. We reserve the right to cancel or postpone a group course if the minimum enrollment is not met. In that case, enrolled students will be offered a full refund or the option to join a future group.
Group schedules are set in advance and apply to all participants. Individual schedule changes within a group program are generally not possible.
8. Corporate programs
Corporate and business training programs are governed by a separate agreement between Nexo Languages and the contracting company. The terms in that agreement take precedence over these general terms where they differ.
9. Programs for kids
All enrollment, communication, and payment for programs involving minors (under 18) must be handled by a parent or legal guardian.
By enrolling a child, the parent or guardian agrees to these terms on the child's behalf and confirms they have the authority to do so.
We do not collect personal information directly from children. See our Privacy Policy for details on how we handle data for minors.
10. Your responsibilities
To get the most out of our services, we ask that you:
- Show up on time and prepared for your sessions.
- Have a reliable internet connection and a device with a working camera and microphone.
- Treat your instructor and fellow students (in group settings) with respect.
- Communicate openly about your goals, challenges, and feedback.
- Complete any practice or preparation suggested between sessions.
We can't be held responsible for technical issues on your end (internet outages, device malfunctions, software problems). If you lose connection during a session, contact us right away and we'll do our best to make up the lost time.
11. Course materials and intellectual property
All course materials, lesson plans, handouts, exercises, and other resources created or provided by Nexo Languages are our intellectual property. You may use them for your personal learning, but you may not reproduce, distribute, sell, or share them without our written permission.
If you share materials from your sessions with others, you do so at your own responsibility and in violation of these terms.
12. Session recording
Sessions may not be recorded (audio or video) by any participant without the express consent of all parties involved.
If we agree to record a session for educational purposes (e.g., so you can review pronunciation later), the recording is for your personal use only and may not be shared or published.
13. Limitation of liability
Nexo Languages provides language coaching services with professional care and attention. However, to the maximum extent permitted by law:
- Our total liability for any claim related to our services is limited to the amount you paid us for the specific sessions or program in question.
- We are not liable for any indirect, incidental, or consequential damages, including lost opportunities, lost income, or other intangible losses.
- We are not responsible for any disruption to services caused by events beyond our reasonable control (natural disasters, internet outages, platform failures, pandemics, or other force majeure events).
14. No guaranteed outcomes
Language learning depends on many factors, including your commitment, practice time, prior experience, and individual aptitude. We provide expert instruction and personalized guidance, but we cannot guarantee specific results, fluency levels, or timelines.
Any progress examples or testimonials on our website reflect individual experiences and are not a promise of similar results.
15. Termination
Either party may end the coaching relationship at any time by providing written notice. If you decide to stop, any unused prepaid sessions will be handled according to the refund policy in section 6.
Nexo Languages reserves the right to discontinue services to any client who engages in disrespectful, abusive, or disruptive behavior toward the instructor or other students. In such cases, we will refund any unused prepaid sessions.
16. Dispute resolution
If something isn't right, talk to us first. Most issues can be resolved with a conversation. Email us at info@nexolanguages.com and we'll respond within 5 business days.
If we can't resolve a dispute informally, either party may pursue the matter in the courts of the Commonwealth of Virginia, or in small claims court if the claim qualifies. We both agree to try informal resolution before filing any legal action.
Nothing in these terms limits your rights under the Virginia Consumer Protection Act or any other applicable consumer protection laws.
17. Changes to these terms
We may update these terms from time to time. If we make significant changes, we'll post the updated version on this page with a new effective date. Changes do not apply retroactively to sessions already booked or paid for.
We encourage you to review this page periodically. Your continued use of our services after changes are posted constitutes acceptance of the updated terms.
18. Governing law
These terms are governed by the laws of the Commonwealth of Virginia, United States. If you are accessing our services from another jurisdiction, you may also be entitled to protections under your local consumer laws, and nothing in these terms overrides those protections.
19. General provisions
If any part of these terms is found to be invalid or unenforceable by a court, the remaining provisions continue in full force. An invalid clause will be modified to the minimum extent necessary to make it enforceable while preserving its intent.
If we don't enforce a particular provision in a specific situation, that doesn't mean we waive our right to enforce it in the future.
These terms, together with our Privacy Policy, represent the complete agreement between you and Nexo Languages regarding the use of our services. They replace any prior verbal or written understandings on these topics.
Nothing in these terms is intended to limit or waive any rights you have under the Virginia Consumer Protection Act (Va. Code § 59.1-196 et seq.) or any other applicable federal or state consumer protection laws.
